In this key role, you'll be instrumental in supporting the day-to-day running of our site, coordinating various activities, and ensuring effective communication across departments. What you'll do:
- Act as a central point of contact for various site operations and communications.
- Coordinate and schedule site activities, including deliveries, maintenance, and contractor access.
- Raise purchase orders.
- Reconciliation of supplier statements and invoices
- Prepare information for new vendor creation and vendor updates
- Arrange one-time payments and credit card payments
- Maintain accurate site records, logs, and documentation (e.g., safety checklists, visitor logs).
- Support the Site Manager with administrative duties, reporting, and project coordination.
- Assist with the management of site resources, including equipment and supplies.
- Inventory tracking and ordering for site-specific needs.
- Ensure adherence to site safety protocols and assist with incident reporting as required.
- Help to resolve minor operational issues and escalate complex problems to management.
What you'll bring:
- Proven experience (3+ years) in a coordination, administrative, or similar operational support role, ideally within a manufacturing, logistics, or industrial environment.
- Exceptional organisational and time management skills with the ability to manage multiple priorities effectively.
- Strong communication skills, both written and verbal, with the ability to interact professionally at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- High level of attention to detail and accuracy in record-keeping.
- A proactive and problem-solving mindset, with a "can-do" attitude.
- Ability to work independently with minimal supervision, as well as collaboratively in a team.
- Understanding of basic site safety procedures is highly regarded.
